01Who We Are
Som3a ID operates the Som3a ID mobile application and the website at som3aid.com (together, the “Service”). Som3a ID is a platform for verified, peer-to-peer recognition — real people documenting real, good work and character through reviews, badges, and a permanent Lifetime record.
This policy applies to anyone who uses the Service, whether you’ve created a Som3a ID profile or you’re simply looking someone up.
02Information We Collect
Information you provide directly
- Account information: your name, email address, phone number, and password when you register.
- Profile information: your profession, organization, location you select (e.g., city, country), a profile photo, and the professional or personal badges you choose to display.
- Reviews and content: the reviews, comments, labels (Trusted, Skilled, Respected, Mentor, Supportive, etc.), and any photos you submit — both for your own profile and when reviewing others.
- Private Feedback for Growth: constructive notes you send privately to another user. These are encrypted in transit and only visible to you and the recipient.
- Lifetime entries: the good acts, dates, photos, and collaborator tags you choose to log to your permanent Lifetime timeline.
- Communications: messages you send us through support or contact channels.
Information collected automatically
- Device and usage data: device type, operating system, app version, crash logs, and how you interact with the Service (e.g., pages viewed, features used).
Information from others
When another user reviews you, shares your Som3a QR card, or tags you as a collaborator on a Lifetime entry, we collect the information they submit about you as part of that interaction.
03How We Use Your Information
We use the information we collect to:
- Create and maintain your Som3a ID profile and unique ID number;
- Operate core features — publishing approved reviews, delivering private Feedback for Growth, building your Lifetime timeline, and generating your shareable QR card;
- Verify identity and reduce fake accounts or fraudulent reviews;
- Send you service-related notifications (e.g., “you have a new review pending approval”);
- Respond to support requests and enforce our Terms & Conditions;
- Improve and secure the Service, including analyzing usage trends and fixing bugs;
- Comply with legal obligations.
We do not sell your personal information to advertisers, and we do not use your reviews or Lifetime content to train third-party advertising products.
04Public Information vs. Private Information
Som3a ID is built around a clear line between what’s public and what’s private:
- Public: your profile name, profession, location (you select), badges, your Som3a ID number, and any review that you — as the profile owner — have approved for display. Approved reviews are visible to anyone who looks up your profile or scans your QR code.
- Private: Feedback for Growth notes are visible only to you and the person you’re exchanging feedback with — never displayed on a public profile, never searchable, and not accessible to other users.
- Pending: reviews awaiting your approval are visible only to you and the reviewer until you approve or decline them.
You control what becomes public. No review is published to your profile without your explicit approval.
05How We Share Information
We share information only in these circumstances:
- With other users: your public profile information and approved reviews, as described above.
- Service providers: vendors who help us operate the Service — e.g., cloud hosting, analytics, customer support tools — under contracts that limit their use of your data to providing that service.
- Legal reasons: if required by law, court order, or governmental request, or to protect the rights, property, or safety of Som3a ID, our users, or the public.
- Business transfers: if Som3a ID is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy or a materially equivalent one.
- With your consent: any other sharing we’ll ask you first.
06Data Retention
We retain your account and profile information for as long as your account is active. Your Lifetime timeline is designed to be a permanent record and is retained accordingly, even if you later become inactive, unless you request deletion. If you delete your account, we will remove or anonymize your personal information within a reasonable period, except where we’re required to retain it for legal, security, or fraud-prevention purposes.
07Your Rights and Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Request deletion of your account and associated data;
- Object to or restrict certain processing;
- Request a portable copy of your data;
- Withdraw consent where processing is based on consent.
You can update most profile information directly in the app. To exercise any other right, contact us using the details in Section 13. We’ll respond within the timeframe required by applicable law.
08Data Security
We use industry-standard technical and organizational measures — including encryption in transit for private Feedback for Growth — to protect your information. No system is perfectly secure, so while we work hard to protect your data, we can’t guarantee absolute security.
09Children’s Privacy & Parent-Managed Accounts
Part of Som3a ID’s mission is to let good character be recognized early — so a child can look back, years later, at a real record of the good they’ve done. We want children to be able to participate, but only in a way that keeps their personal information safe and firmly under their parent or guardian’s control.
How children use Som3a ID
Children do not create or control their own account. Instead, a parent or legal guardian creates and manages a Parent-Managed Account on the child’s behalf. The parent:
- Provides verifiable consent before any of the child’s personal information is collected;
- Sets up and controls the child’s profile, including what information (if any) is entered;
- Approves — or can permanently disable — every review or piece of feedback submitted about the child;
- Can access, edit, export, or permanently delete the child’s data at any time;
- Can revoke consent and close the account at any time, which stops all further data collection.
Age thresholds
We rely on a parent or guardian to create and manage an account for any child under the age required to consent to data processing under applicable law — which is 13 in the United States (per the Children’s Online Privacy Protection Act, COPPA) and may be older (up to 16) in some other countries under laws like the GDPR. Once a young person reaches the age of digital consent in their country, they may — with their parent’s involvement — transition to managing their own account, carrying their existing Lifetime record with them. Independent, self-managed accounts otherwise require the user to meet the age described in Section 3 of our Terms & Conditions.
10International Data Transfers
Your information may be processed and stored in countries other than the one you live in. Where required, we use appropriate safeguards to protect information transferred internationally.
11Cookies and Similar Technologies
Our website uses cookies and similar technologies to keep you signed in, remember preferences, and understand how the site is used. You can control cookies through your browser settings; disabling them may affect some site functionality.
12Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we’ll notify you through the app or by other reasonable means before the changes take effect. The “Last updated” date at the top of this page reflects the most recent revision.
